Why do we process your personal data?
We process your personal data to manage subscriptions to the CIVIT newsletter, handle equipment requests submitted through our forms, and analyze website usage. This helps us provide information and services related to the CIVIT research infrastructure at Tampere University.
Do we use automated decision-making or profiling?
We do not use automated decision-making. However, we may create visitors’ profiles based on browsing history to analyze visitor behavior, show personalized content, and run online campaigns. This profiling is done based on your consent.
What personal data do we process?
We process the following types of personal data:
Personal information provided voluntarily: This includes data like your email address when you subscribe to our newsletter or fill out the equipment request form.
Automatically collected information: We use Piwik PRO Analytics Suite as our website/app analytics software and consent management tool. We collect data about website visitors based on cookies. The collected information may include a visitor’s IP address, operating system, browser ID, browsing activity, and other information. Metrics like bounce rate, page views, and sessions are calculated to understand how our website is used.
Why are we allowed to process your personal data?
We are allowed to process your personal data based on the following legal grounds:
Consent: Article 6(1)(a) – You have given your consent for us to process your data for specific purposes, such as subscribing to our newsletter.
Legitimate interests: Article 6(1)(f) – Processing is necessary for our legitimate interests, including maintaining and analyzing the operation of our website.
Where do we get your personal data needed for processing?
We collect your personal data directly from you when you interact with our website, such as subscribing to our newsletter or submitting equipment rental requests. We also collect data automatically through cookies and similar technologies, including the use of Piwik PRO Analytics Suite.
Processors and disclosures of your personal data
Your personal data is processed within Tampere University in accordance with our data protection policies.
We use personal data processors, such as Microsoft, to process personal data for web and mobile analytics, website hosting and consent management. We have concluded data processing agreements (DPAs) with the service processors to ensure compliance with data protection regulations.
Do we transfer your personal data outside the EU/EEA?
We do not transfer your personal data outside the EU/EEA.
How long do we keep your personal data?
We retain your personal data only for as long as necessary to fulfill the purposes outlined in this privacy notice. For newsletter subscriptions and equipment rental requests, data is keptas long as it its necessary and grounded for the purpose. Data collected through Piwik PRO is stored for 14/25 months.
What rights do you have as a data subject?
You have the following rights under the EU General Data Protection Regulation:
- Right to withdraw consent
You have the right to withdraw your consent at any time if the processing of your personal data is based on your consent. The withdrawal of consent does not affect the lawfulness of our processing based on consent before its withdrawal.
- Right of access (Article 15)
You have the right to know what personal data is being processed about you and what data has been stored about you. In many systems related to admissions, you can view the information stored about you yourself when logged in.
- Right to rectification (Article 16)
You have the right to obtain that incorrect, inaccurate or incomplete personal data concerning you be rectified or completed without undue delay. In addition, you have the right to demand that your unnecessary personal data be erased.
- Right to be forgotten (Article 17)
Depending on the basis for data processing, you may have the right to have your personal data erased from the university’s register. Such a right does not exist, for example, in cases where the processing of your personal data is necessary for compliance with a legal obligation or for the exercise of official authority vested in the university)
- Right to restriction of processing (Article 18)
In certain situations, you may have the right to request that the processing of your personal data be restricted until your data or the basis for processing it has been duly checked and corrected or supplemented.
- Right to object (Article 21)
Based on your particular personal situation, you have the right to object at any time to the processing of your personal data when the processing is based on the performance of a task carried out in the public interest, the exercise of official authority or the legitimate interest of a higher education institution. In this case, your data may only be further processed if there is a compelling and justified reason for the processing that can be demonstrated.
- Right to lodge a complaint with an authority (Article 77)
You have the right to lodge a complaint with a supervisory authority if you consider that the processing of your personal data violates applicable data protection legislation. In addition, you have the right to seek other administrative and judicial remedies.
